How a Two-Person Online Music Community Runs on an AI Staff

The operator practice, demonstrated on my own company.

Most case studies tell you about a client. This one is about me, because the fastest way to know whether I can install an AI-run operation in your business is to see me running my own on one.

The setup

Masters Radio is an online music community for the great artists of the 60s, 70s, and 80s. It has members who pay, artists who need promoting, and advertisers who want to reach an audience that grew up on this music. In other words, it has every operational demand of a media company: subscriptions to manage, content to produce, rankings to publish, ad inventory to sell, and a CRM full of people at different stages.

What it does not have is a media company’s staff. It has a founder and me, its COO. Two people.

The problem, if you have run a small business you already know it

A two-person company cannot cover what a media company covers. Someone has to watch ad fill rates and chase sponsors. Someone has to keep the membership site working and the billing clean. Someone has to produce the monthly Top 100 and the artist content that keeps members engaged. Someone has to keep the CRM current so nobody falls through the cracks. On a small team, “someone” is always the same one or two exhausted people, and the work that does not scream the loudest quietly does not get done.

The usual answers are to hire people you cannot afford or to buy more software you will not have time to wire together. I did neither. I built a staff of AI agents and put them to work.

What I installed: the AI staff

I did not buy an AI product. I installed operating systems and gave each one an agent to run it. A few of them:

  • Ad operations. An agent monitors advertising fill rates and sponsor placements, flags what needs attention, and drafts the outreach, so the revenue side does not depend on me remembering to look.
  • Content and rankings. The monthly Top 100 and the playlists that go with it are produced on a schedule by agents, not by someone staying up to compile spreadsheets. Artist and backstage content gets generated the same way, from real inputs, in the brand’s voice.
  • Membership operations. The paid membership site, the tiers, and the billing run on systems that an agent keeps healthy, so a member signing up at midnight is handled without a human awake.
  • Customer relationships. The CRM stays current because an agent syncs conversations and updates records, so the pipeline reflects reality instead of whatever I last had time to type in.
  • Creative and sales prep. Branded images, sales meeting agendas, and the recurring documents a business runs on are produced by agents to a consistent standard, in minutes, not hours.

None of this is magic and none of it is a demo. It is the actual Tuesday of an actual company that takes actual money.

How it works day to day

The agents do the repeating work. I do the deciding. When something needs a judgment, a real ad negotiation, an artist relationship, a strategic call, it comes to me already framed, with the routine parts done. My job stopped being “do all the work of a media company with one other person” and became “decide and steer while the machine runs the operation.” That is the whole shift, and it is the difference between a two-person company that drowns and a two-person company that runs like it has twenty.

The result

Masters Radio operates across advertising, content, rankings, membership, and CRM with a team of two, because the operation itself runs on an AI staff that never sleeps, never forgets, and never lets the quiet work slide. The company is not bottlenecked on my hours. That is the outcome that matters, and it is the one every small business owner actually wants: to stop being the single point of failure for their own business.

The thing that makes this work is not the AI. It is knowing which few systems actually run a business, installing them properly, and putting an agent on each one so they run without you. The AI is the staff. The operator is the person who decides what the staff should do and stays accountable for the result.

What this means for your business

That is exactly what I do for other small ventures through Capital Business Builder. I come in, find the handful of processes that are eating your week, install the systems and the AI that run them, and document it so it does not live in your head. You get your time back and your business stops depending on you being awake.

If you want to see whether that fits your business, tell me the one thing that never lets go of you. I will tell you straight whether an operator is what you need.
